Privacy notice
This notice explains what the Cypress Grind Rider Program does with personal information. It covers the Rider Program site at riders.cypressgrind.com: the program pages, rider storefronts, the rider portal and the tools Cypress Grind staff use to run the program. It doesn't cover cypressgrind.com's other pages, or the stores where riders' customers check out and pay.
Who we are
The Rider Program is operated by EDW Ventures LLC, a Texas limited liability company, doing business as Cypress Grind Co. Questions or requests about your information: info@cypressgrindco.com.
What we collect
If you have a rider portal login
- Your email address and password. Your password is sent to our sign-in provider, Supabase, which checks and stores it. Our own database never contains it.
- The time you confirmed you're 18 or older. We don't ask for your date of birth.
- A display name, if one is added.
If you apply to the program
Your rider or brand name, your name, email, phone number if you give one, city and state, social or website links, what you sell, estimates of how much stock you'd store and how many orders you expect, where you sell now, any note you add, and the time you confirmed you're 18 or older. We email you to confirm we received it, use it to review your application, and contact you about it. Applications are kept after a decision.
If you apply for a free storefront
The same, minus anything about stock or shipping: we don't ask how much you'd store, how many orders you expect, or where you sell now, because nothing is stored or shipped for you. We also record which of the two you applied for. We use it the same way, and keep it after a decision.
If you're a rider in the program
- Your rider name, and a legal name and contact email if you give them to us.
- Your stock, orders, requests and monthly service statements. If you ask us to ship stock back to you, the return address you give.
- Everything you put on your storefront: bio, location, sponsors, social links, clip links and photos.
- If you leave the program: when you asked, the reason you chose if you gave one, and how you want your stock back.
- When your account accepts the Rider Services Agreement: which version, the prices shown with it, who accepted and when.
- If you set up marketplace payouts: your Stripe payout account ID, whether Stripe has enabled payments and payouts, and the names of any details Stripe still needs. You enter your identity and bank details on Stripe's pages, and we don't store them.
- If your store sells through checkout on this site: for each sale, your items' amount, your share of Stripe's card fee, any refund, the date it's held until, fees or refund debts taken out of it, and the payout sent to your Stripe account. Your team and Cypress Grind staff can see these.
- If you offer products to other riders' stores, or sell theirs: which products are offered and at what commission, which stores carry them, and each sale's commission. Riders who can sell your offered products see its name, description, photo, price, stock, your brand name and the commission.
- If you pay Cypress Grind for its services by card: the card brand, last 4 digits and expiry, and a record of each charge and invoice. You enter the card on Stripe's page, and Cypress Grind never receives or stores the full card number.
If you bought from a rider
When someone buys from a rider, the order is sent to Cypress Grind so we can pack and ship it. We keep the recipient's name, shipping address, phone number if one was given, and the items ordered. We never receive payment card details.
Some riders' stores have checkout on this site, run by Cypress Grind. There, you enter your email, shipping address and payment details in Stripe's payment form, and Stripe processes the payment and calculates sales tax. We keep your email, the shipping name and address, the items, and the amounts paid for items, shipping and tax, for shipping the order and for sales and tax records. If a payment is refunded or disputed, we also keep the amounts returned and the dispute's status. We email you to confirm the order, and again with the tracking number when it ships; both emails go only to the address you gave at checkout. To show shipping prices, we send the shipping address and package size to EasyPost, unless the store ships free, when no prices are requested. Your cart, meaning the items and quantities you add, is kept in your browser's storage on this site, and is sent to us to check prices and stock and when you check out.
For sales paid somewhere else, we don't keep how much was paid. Those orders reach us in one of two ways. The rider or Cypress Grind staff can enter a sale the customer already paid for somewhere else. Or, if the rider connects their own Stripe account, we read each paid checkout from Stripe with read-only access. Stripe's reply also includes details such as the amount paid and the customer's email, which we don't keep. Once an order is sent, riders see which state it ships to. If the rider ships that order themselves, they also see the recipient's name, shipping address and phone number, so they can ship it.
If you work for Cypress Grind
Your sign-in email, your staff roles, and a record of sensitive actions you take in the operations tools.
If you visit these pages
Program pages and storefronts don't ask you for information, apart from checkout on stores that have it. Like any website, the servers that deliver pages and photos receive standard request information, such as your IP address and browser type.
Storefront photos
- Photos riders upload for their storefronts are stored with our storage provider, Supabase.
- Anyone who has a photo's link can view it. Photos are meant for the rider's public page.
- Before a photo is stored, we re-create the image and remove hidden details from the file, including its location (GPS), camera information and author fields.
- When a photo is deleted, its image files are deleted. A record that the photo existed stays in our activity history.
How we use information
- To review applications to the Rider Program.
- To receive, store, pack and ship riders' orders, and to handle returns.
- To take payment for orders on stores with checkout on this site, and to show shipping prices and sales tax.
- To run rider accounts and the rider portal.
- To prepare riders' monthly statements for Cypress Grind's services.
- To show riders' storefronts.
- To keep a record of sensitive actions, for security and accountability.
We don't use personal information for advertising. These pages have no analytics or advertising tools.
Who receives information
- Supabase, which runs our database, sign-in and photo storage.
- Stripe, when a rider pays Cypress Grind for its services by card or invoice. It receives the rider's name, billing email and the card details entered on Stripe's page. If a rider sets up marketplace payouts, Stripe also receives their business name and contact email from us, and checks their identity and bank details on its own pages. On stores with checkout on this site, Stripe processes customers' payments: it receives what's entered in its payment form, the items and amounts, and the shipping address.
- EasyPost, which receives shipping addresses and package sizes to show shipping prices at checkout.
- Resend, which delivers our emails, including sign-up confirmations, application confirmations, invitations, emails about leaving the program, billing emails, notices of price changes, updates on order extras you ask for, and, for orders bought through checkout on this site, the customer's order confirmation and shipping email.
- Shipping carriers, which receive the recipient name, address and, when a carrier requires it, phone number needed to deliver a package.
- The company that hosts this site, which receives standard request information when you visit.
- Anyone who views a published storefront, which shows what the rider chose to publish.
- Authorities, if the law requires us to disclose information.
We don't sell personal information.
Links to other sites
On stores without checkout here, Buy links open the rider's own store. Clip and social links open sites such as YouTube, TikTok or Instagram. Those sites have their own privacy policies. Storefronts don't load anything from video or social sites on their own.
Videos from YouTube or Instagram on a storefront show a play button. The video site's player loads only after you tap play. From then on, that site receives information such as your IP address and browser details, and it may set its own cookies, under its own privacy policy. YouTube videos play in YouTube's privacy-enhanced mode.
Cookies
We use cookies only to keep rider portal and staff users signed in. They're set when you sign in. Program pages and storefronts don't set cookies of their own, and we don't use tracking cookies. If you tap play on a video on a storefront, the video site may set its own cookies.
On stores with checkout on this site, your cart is kept in your browser's storage (not a cookie) until you check out or remove the items. The checkout page loads Stripe's payment form from Stripe, and Stripe may set its own cookies under its own privacy policy.
How long we keep information
We haven't set fixed retention periods yet. Right now, account, order, statement and activity records are kept, including for accounts that have closed, and nothing is deleted automatically. Deleted storefront photos are the exception described above.
Your choices
- Riders can change their storefront, photos and photo descriptions in the rider portal at any time.
- Riders can download their products, store content, photo links, orders (without customer names or addresses) and statements from the rider portal at any time, including after their account closes.
- To ask for a copy of your information, a correction or deletion, contact us at info@cypressgrindco.com.
Adults only
The Rider Program is for adults. Everyone with a rider portal login confirms they're 18 or older, and the program isn't directed at children.
How we protect information
Customer shipping details are visible only to Cypress Grind staff, and to the rider for orders that rider ships themselves. Emails and amounts from checkout on this site are visible only to Cypress Grind staff. Each rider's information is available only to that rider's team and Cypress Grind staff, and that limit is enforced in the database. Sensitive staff actions are recorded in a log that can't be edited.
